Front Desk Training Manual

Comprehensive 3 week training manual for hiring front desk employees with or without prior dental experience.

Assessment

This is required for most consulting agreements to receive a proposal. (Usually requires 6 hours of time in office) .

Includes:

  • Visual assessment of office (exterior/interior)

  • Website evaluation

  • Front desk evaluation: scheduling, knowledge, organization, insurance & payment handling, customer service, forms, and software.

  • Basic Human Resources: employee folders, employee tracking, forms, and employee evaluation.

  • Office recommendations: a comprehensive list of actions recommended for improvement. This list is organized by immediate, secondary, tertiary, and optional.

  • Proposal for improvement: options to improve the administrative side of your office.

In House / Remote Consulting

Available Options:

  • Front Desk Setup: organize paperwork, customer service, some software aspects of the front desk, determine system for taking payments, and checklists.

  • Scheduling Setup & Training: determine parameters for providers, cheat sheet, and train staff (front desk or all staff).

  • Emergency Protocols: basic form for office information, protocol for exit strategy and meet up, periodic meeting schedule, and training of staff.

  • Customer Service Training: basics of patient interactions, in person and phone. Second level complaint management for patients. Coworker interactions.

  • Fees: creation of office fee schedule, outline parameters of discounts and bundles.

  • Insurance Training: basics of codes, verification, pre-authorizations, insurance portal set ups, cheat sheet creation for contacts, state vs private, PPO vs HMO vs CAP plans, training of staff.

  • Credentialing Training: how to organize and prepare, who to contact, how to complete and submit, what to expect afterwards.

  • Billing Training: claims, pre-authorizations, appeals, coordination and continuation of benefits, payments, filing and tracking EOBs, handling denied claims and tips to get claims paid, audit methodology.

  • Human Resources: basic forms to track employees from on-boarding to exit, create interview questions and strategy, and how to keep your employees happy, how to schedule and run meetings and huddles, employee appreciation tactics.
